New Starters

  • Staff and Postgraduate Students

Report your arrival to your supervisor or the CfAI Secretary Claire Whitehill.

Get your campus card from the Computing and Information Services.

Once you have your CIS account, you can get access to the local network by talking with our Computer Systems Manager, Gary McCallum.

Fill in the online departmental registration form with your details; this is necessary for enrolment on the Physics Database System and will automatically send a key request for your office. You will then be contacted by the Departmental Safety Coordinator who will issue your key. You should also contact the Physics Communications Office, who will take your Department photo and set up your University web profile.

  • Staff only:

You should complete the University's on-line data protection training - the module is available on DUO. Staff can access it from their DUO homepage using their CIS username and CIS password. The module should be found within the ‘My Organisation and Online Training’ section.

If you are intending to drive to work please be aware that parking on the Science Site is quite limited and by permit only (this is strictly enforced by an outside company). See Car Parking and Travel for how to apply for a permit.

  • PhD students need to enrol (please be aware that you need to do this every year). You will need to check your registration on DUO. If you need help or advice on this please contact physics.pg-admissions@durham.ac.uk (room PH105)

University Travel

Please contact Claire Whitehill with your travel requirements, please note that travel cannot be booked without a valid charge code:

Travel Insurance (required ): ** Please note: you are not authorised to travel without valid insurance ** Follow the link https://apps.dur.ac.uk/travel.forms/ to access Viator, Durham University’s online travel insurance system. Note that Staff planning a trip within the UK are automatically insured and don't need to complete the form. However, students will have to complete the form for UK trips which involve a flight or an overnight stay.

Control Risk Group website Before filling in the insurance forms you should check the travel risk on the Control Risks online services website. The User ID for the University is 'umal20' and the password is '52a23'. The Level of Risk is determined by the Travel rating, unless any of the other indicators are High or above. Any travel ratings of Medium or above need to be authorised by the Insurance Officer, regardless of the other rating indicators.

Absence Register: Once your travel is booked please enter your absence in the Physics Department Database. All absences for travel or annual leave and sickness should be entered.

Expenses: Keep all receipts as these will be required for expense claims. Staff must make their expenses claims via the University's People+ system. Students must claim their expenses using a Request for Payment form.

New Overseas Staff can find help before you arrive in Durham by contacting Recruitment, they provide practical information on living in the UK, from advice on the cost of living, opening a UK bank account, obtaining your National Insurance Number, to driving in the UK.

All new staff are required to attend a Staff Induction event organised by Recruitment and you will be notified of this via email. You can also attend the Staff Information and Well-being Fair which is held three times per year so that, as a new staff member, you have the opportunity to find out more about the many benefits you can access. There are a range of information exhibits featuring departments such as Payroll & Pensions, Human Resources, Greenspace and CIS. Well-being exhibitors include: Counselling, Cyclescheme, Volunteering, Team Durham’s fitness classes and staff walks. Durham County Council’s Check 4 Life Team are available to give free, confidential health-checks (advanced booking required) and our University Occupational Health team will be there to offer any advice if needed.
