How to access Taleo

To access Taleo please click here, once you have successfully logged in using your Durham University login credentials you will be greeted with your homepage.

Once here, click on Recruiting, then click on Recruiting again and you are now in Taleo.

This will be due to the settings within the requisition, a person who wishes to access a requisition needs to be selected as a Hiring Manager, a Hiring Manager assistant or a collaborator. You can find out how to do this in our Creating a Requisition Video.

This will be due to your Oracle permissions settings, please contact Cherith Smith (Recruitment Manager) or Katie Robinson (Assistant Recruitment Manager) if you are having this problem.

Taleo is very strict with it’s time limit for creating a requisition, if the page is left unused for a while it will not allow you to save and you will lose your information. We advise that you schedule appropriate time to create your requisition.

No, unfortunately Taleo does not accept tables so we ask that this remains in text format with bullet points.

No, unfortunately we cannot amend the Requisition or Job Description once this has been advertised.

Yes, this is a simple change within the Requisition in Taleo. We advise that the individual processing any administration for any New Starter should be the designated “Hiring Manager” as Taleo will automatically send alerts to this individual. You can assign responsibility from the creation of the Requisition or later down the line. It is simply editing the Requisition and changing the name of the assigned “Hiring Manager”.


Below is an outline of the current lead times required by the Recruitment Team at each stage of the Recruitment process:


Lead times

HR request relevant approvals for the vacancy requisition Within 3 working days from receipt of the requisition
HR receive fully approved vacancy requisition to advertise Within 3 working days from receipt of approval
Following closing date to issue shortlisting documents to departments Within 3 working days from closing date
HR receive completed shortlist matrix and shortlisting pack to raise the invitations for interview Minimum 2 weeks prior to interview date
From receipt of completed Offer to start date (see note below *) Minimum 2 weeks prior to the proposed start date
Once the candidate accepts the offer and completes on-boarding, we will request they are processed in the system. Once processed, CIS will create their IT account Maximum of 10 working days prior to start date

No, post all interviews, the proposed offer needs approval, and the assigned HR Administrator needs to receive all Interview Notes, Eligibility/Qualifications and UKVI paperwork before a contract can be issued (or employment can begin).

Since April 2020 it is a legal requirement that we issue particulars of employment prior to commencement, therefore we are unable to backdate contracts.

The process that all new candidates who are appointed go through in our Taleo system – this allows new starters to complete forms that are crucial to them being processed by Recruitment and then the People and Pay Services team
