Facilities Committee

The Committee shall advise on all aspects of the facilities relating to teaching, research and administration in the Department. The Committee will make recommendations on the departmental needs for secretarial, administrative and technical staff as well as the facilities (including communication support office, mechanical and electronic workshops, computer infrastructure, teaching and research laboratories). The Committee will consider and make recommendations on the annual budget required to keep these facilities in working order. The Committee will formulate both short and long term plans to improve the departmental facilities.

Composition

The members of the Committee shall be:

  • Chairperson: appointed by the Head of Department
  • Resources Administrator also acting as Secretary
  • Director of Operations
  • Technical Service and Facilities Manager
  • Chair of the Teaching Laboratories Committee
  • Academic IT Lead (Science)
  • Electronics Workshop Champion
  • Mechanical Workshop Champion
  • Laboratory Technician (Research and Teaching) Champion
  • Energy Champion
  • Any other members of the Department as agreed by the Committee

Meetings

The Committee shall normally meet at least two weeks prior to each meeting of the Board of Studies or as frequently as is necessary to discharge its responsibilities.

Reporting

The Committee shall be responsible within the general remit laid down by the Board of Studies and will make recommendations to the Departmental Senior Management Committee and Head of Department.

Responsibilities

The Committee shall be responsible within the general remit laid down by the Board of Studies for:

  • advising the Board of Studies and Departmental Senior Management Committee on the formulation and implementation of strategy, policies and guidelines covering all aspects of the facilities required for teaching, learning and research within the Department;advising the Board of Studies and Departmental Senior Management Committee on the number and disposition of secretarial, administrative and technical staff;
  • receiving verbal reports from the Academic IT Lead (Science) and transmitting these and any recommendations arising from the consideration of the reports to the Board of Studies and Departmental Senior Management Committee;
  • receiving verbal reports and minutes from the Teaching Laboratories Committee via the Chair of that Committee and transmitting these and any recommendations arising from the consideration of the report to the Board of Studies and Departmental Senior Management Committee;
  • receiving written and verbal reports from the Mechanical Workshop Champion and Technical Service & Facilities Manager on the performance and requirements of the mechanical workshop and transmitting these, and any recommendations arising from the consideration of the reports, to the Board of Studies and Departmental Senior Management Committee;
  • receiving written and verbal reports from the Electronics Workshop Champion and Technical Service & Facilities Manager on the performance and requirements of the electronics workshop and transmitting these, and any recommendations arising from the consideration of the reports, to the Board of Studies and Departmental Senior Management Committee;
  • receiving written and verbal reports from the Laboratory Technician Champion and Technical Service & Facilities Manager on the performance and requirements of the laboratory technicians (research and teaching) and transmitting these, and any recommendations arising from the consideration of the reports, to the Board of Studies and Departmental Senior Management Committee;
  • receiving verbal reports from the Technical Service & Facilities Manager on any relevant health and safety matters in the Department and transmitting these and any recommendations arising from the consideration of the reports, to the Board of Studies and Departmental Senior Management Committee;
  • receiving verbal reports from the Technical Service & Facilities Manager on the Head of Departments actions regarding the use of space and transmitting these and any recommendations arising from the consideration of the reports, to the Board of Studies and Departmental Senior Management Committee;
  • receiving verbal reports from the Energy Champion on the Head of Departments actions regarding the use of energy and transmitting these and any recommendations arising from the consideration of the reports, to the Board of Studies and Departmental Senior Management Committee;
  • advising the Board of Studies and Departmental Senior Management Committee on the strategy and associated efficient delivery process of the departmental facilities and technical support;
  • to proactively contact all departmental staff, including researchers, to ascertain their changing needs and requirements for the year ahead;
  • to organise annual ‘Town Meetings’ to discuss and analyse the service delivered by the mechanical workshop, the electronics workshop and the laboratory technicians with a view to improving the technical support and identifying future development needs;
  • advising Head of Department on the resources required (space, financial and staffing) for departmental facilities, and advising Departmental Senior Management Committee on the annual budget for the various subsections of the departmental facilities;
  • making proposals to the Departmental Senior Management Committee on the specification, purchase and maintenance of equipment and resources required by the department and ensuring the efficient use of equipment and resources;
  • monitoring and reviewing the use and quality of service provided by the departmental facilities;
  • providing detailed minutes of the Committee meetings to the Board of Studies and Departmental Senior Management Committee.
