Adverse weather

Updates - 4th March 2018 (4pm)

Staff working

There are no active weather warnings in place for the immediate Durham area and the University has remained open throughout the last week. As such, wherever possible we would like to return to normal business. However, we do understand that some staff living in outlying areas may still be experiencing difficulties with travel. If you feel you cannot get into Durham for work please discuss this with your line manager.

Snow clearance

Snow clearing and gritting has continued over the weekend to ensure all main roads around the Durham and Queens campuses (academic and colleges) are accessible. Further winter maintenance will take place later today and early tomorrow morning.

Car parking availability has generally been reduced due to the mounds of ploughed snow and it is anticipated this will be the case for as long as it takes to thaw. We would encourage staff to car share or use public transport, wherever possible.

Visitor bays will be closed at Mountjoy tomorrow, and will be assessed daily. This is due to the risk of snow falling on to the cars parked below. The electric vehicle charging point will not be in use (located near the post room). Alternative charging points are located in the small Engineering car park (1 x single charging point), large Engineering car park (1 x single charging point) and Mountjoy Psychology car park (1 x double charging point). Accommodation and Commercial Services have briefed the Car Parking team and Security to reassign visitor bays, wherever possible, for visitors accessing the site by car.

A further 10 tonnes of salt will be delivered tomorrow and the Grounds team will be replenishing salt bins around the estate. Should a bin near you need refilling, please log the request on to estates maintenance portal (Estates K2 system) and identify the bin number from the information on the salt bin.

Hazards

Please be conscious of the hazards posed by snow on steps and steep banks and consider alternative routes to mitigate the risks. Motorists should take extra care when driving around the University and college sites today and be aware that pedestrians may be walking on the roads. Where staff plan to work this weekend please can you contact Security and let them know which building they are in and what time they are proposing to leave. Snow and ice overhangs are forming on the perimeter of buildings. Staff and students should be extra conscious of the dangers these pose. Please can you remember to look up and see what hazards exists above you as well as the slip hazards on the ground. Where overhangs have formed we would advise that staff take an alternative route to their entry point of buildings. The Estates team will be trying to remove snow/ ice overhangs, where it is safe to do so, over the coming days. College Operations should seek advice from Estates prior to the removal of snow / ice overhangs on their buildings. These pose a significant risk, not only to pedestrians but also to those trying to remove them. Please contact the Estates Helpdesk on 0191 334 6000.

As the snow thaws over the coming week, areas of the Estate will be at an increased chance of flooding. Business Resilience are monitoring the flood alerts and river levels and there are currently no flood risks in place. However, we are aware of the following buildings that have previously been affected by flooding: Maiden Castle; Maths; Engineering; Geography; Elvet Riverside; and Palace Green Library. Measures are in place to support these buildings in the event of an increased risk from flooding. If you are aware of other buildings that have been affected by weather, specifically related to flooding, please can you contact the Estates Helpdesk on 0191 334 6000 and let them know about this as it will help us to create a list of vulnerable buildings and allow the Estates team to ensure they have the relevant support in place, as far as practically possible.

General Services Assistants (GSAs)

Most entranceways and pathways are now clear so GSAs are focusing efforts to keep internal areas dry (primarily entranceways, foyers and central walkways), as snow is being brought into buildings on the soles of shoes and melting. We would continue to ask building users to take extra care in these areas, use the barrier matting to wipe their feet and to be mindful of wet floor signs that are in place.

This is the final communication today.

Once again a huge thank you to the many staff who have gone over and above the call of duty to keep the University running this week. More to follow next week on how we are going to recognise those efforts.

We will be issuing a further communication on Sunday afternoon to update you on conditions at both Durham and Queen's Campus and the preparations in place to return the University to normal running, weather dependent.

Snow clearance

Snow clearing and gritting will operate on a reduced service over the weekend provided by our external winter maintenance contractor. Staff accessing the site over the weekend are reminded to take care and reduce your speed when driving. Plans are in place to start the winter maintenance in the early hours of Monday to ensure the roads and car parks on the Durham and Queens campuses (academic and colleges) are accessible.

Cleaning took place this morning and teaching rooms, toilets and washrooms, kitchens and central areas were cleaned. Central refuse areas were also serviced. Cloakroom attendants are in operation today to service washrooms, where movement across the site allows.

We can confirm that Breakfast, Lunch and Dinner will continue to be served in the Colleges over the weekend.

All Receptions (with the exception of Ushaw College) will be covered between 9am-5pm, including:

CIS

The Bill Byson Library Service Desk will be open from 8.30am-4.30pm today, with telephone support in place 8am-5pm. The out of hours service will operate as usual from 5pm. Bill Bryson Library will continue to be open 24/7 – though this is subject to staff working later in the day being able to make it in to work.

Careers and Enterprise Centre

The Careers & Enterprise Centre remains open for use with reduced staff but closing time will be reviewed throughout the day. Students will be emailed direct if appointments are affected.

Counselling Service

The Counselling Service reception remains open, but there is reduced staff. Clients with booked appointments should receive an email by 9am on the day of their appointment to confirm whether their practitioner is in the Service. Clients can also call 0191 334 2200 during working hours.

Disability Support

The Disability Support Service reception is open, however they do have reduced staff. Students with pre-scheduled adviser appointments, or Study Skills appointments, should receive an email by 9am on the day of their appointment to confirm whether it will go ahead. You will be offered alternatives and the option to re-book.

Event Durham

Event Durham is open to receive calls and general enquiries from 9am – 5pm.

Cleaning

Staffing levels in the cleaning teams have greatly improved; priority will be given to toilets, central refuse collections and internal areas around entrance doors to remove salt staining.

Queen's Campus Services

The team at Queen’s Campus has been managing extremely well, under these difficult circumstances.

  • Security and porters are clearing paths.
  • The Council is providing a service to grit carparks throughout the day and the main roads around the campus are currently clear.
  • Cleaning service continues as normal in the teaching buildings and colleges.
  • The shop, reprographics, postal services and reception are running a normal service.

An Amber weather warning remains in place until 10am today, with a further Yellow warning until 23.55hrs on Saturday 3 March 2018. The University remains open.

Staff and students are encouraged to take suitable precautions when travelling around the campus given the conditions - do please take care and thank you for your patience.

Some front line services will need to remain operational so please continue to refer to your line manager as to the best course of action.

The University will remain open tomorrow, with limited services in many areas. We would like to express our thanks again to all of the staff who have kept the University going in these difficult conditions.

Some front line services will need to remain operational so please continue to refer to your line manager as to the best course of action.

To re-iterate, if you can work from home tomorrow please do so, in consultation with your line manager.

If you need to travel in to the University before doing so please check the advice being issued by the emergency services and travel companies.

IMPORTANT NOTICE FOR PARENTS: The University Day Nursery will close at 4pm today Thursday 1 March and tomorrow Friday 2 March.

Snow clearance

The priority road and car parking clearing will continue for the remainder of today and the early hours of tomorrow. Please see below for a map of the priority areas.

The roads around the Durham and Queen's Campus are clear and we would advise that all staff leave early so they can drive home in the daylight. With further snow expected throughout the night priority will need to be given to keeping clear the main road to from the entrance to the site from Stockton Road up to the bus turning area at upper Mountjoy. This will allow access to the large car park to the south of engineering and the car park to the rear of Mountjoy Centre (by the loading bay).

Accommodation and Commercial Services have General Services Assistants (GSAs) will be working within the following departmental buildings until:-.

Priority areas for snow clearing

Updates - 1st March 2018 (2pm)

Due to adverse weather conditions, Durham University regrets that it has been necessary to postpone the ‘University and City: Growing together’ community engagement event, which had been scheduled for Friday 2 March at 4.30pm at Durham Town Hall.

This decision was not taken lightly, and was reached on safety grounds following close consultation with Durham County Council and Durham Police.

The University remains committed to dialogue with our local communities and we will announce a new date for the event as soon as possible.

Snow clearance

Roads around the campus were gritted earlier today and are described as variable, pathways from the carparks are clear and gritted at present, however, the car parks have a covering of snow and are described as poor.

There is a scheduled pass through of a snow plough and gritter shortly, which should improve conditions.

Catering

The priority for catering in both Durham and Queens’ campus continues to be provision of residential student catering along with a condensed retail café provision.

Within colleges all meals have been provided and we continue to monitor catering in all colleges three times per day to assess staffing levels and food deliveries. Food has been delivered today although menu choices have necessarily been limited, opening times compressed and disposable plates etc. used to save washing up staff.

Student Services

The Careers & Enterprise Centre is open for use with reduced staff but closing time will be reviewed throughout the day. Students will be emailed direct if appointments are affected.

Queen’s Library will be closing at 22:00 hrs this evening and planned to re-open at 8.30am tomorrow.

The Leazes Road Library will close at 5pm today and won’t re-open until 9.00 on Monday.
