OneDrive for Business

+How can I connect to OneDrive for Business when my computer is already linked to my personal OneDrive account?

Sign into OneDrive for Business and copy the URL in the web browser address window.

Open the OneDrive for Business App, add the copied URL and click the Sync Now button.

Enter your sign in details in the format username@durham.ac.uk and click Next

Enter your Durham password and click Sign in

 Your files will then begin synchronising.

+How do I access OneDrive for Business on a Mac?

You can access OneDrive for Business via any web browser by navigating to https://office365.dur.ac.uk, clicking the tiles icon in the top left or the browser window and selecting OneDrive for Business.

 

You can also access OneDrive for Business directly via https://onedrive.com and signing in via the OneDrive for Business option using your Durham username and password.

 

You can also install the OneDrive App for Mac OSX. This application allow files synchronisation between your Mac and OneDrive for Business but it should only be used if your Mac account is protect by a password that requires you to sign in and the hard disk is encrypted.

 

  1. On your Mac, go to the App Store and search for OneDrive
  2. Download and install the OneDrive App
  3. Start the OneDrive App and type your email address in the following format username@durham.ac.uk and click Sign in
  4. When the Office 365 authentication screen loads, check the email address you entered on the previous screen has been added and click the password box, the page will divert to the Durham University authentication page
  5. On the Durham University authentication page, add your password and click Sign in 
  6. When the window with 'This is your OneDrive Folder' appears, click the Choose OneDrive Folder Location button and select a location for file synchronisation
  7. Once you have selected the file synchronisation folder, click the Next button
  8. Choose which files and folders you would like to synchronise and click Next
  9. Once you see the 'Your OneDrive Is Ready for You' notification, click the Open my OneDrive button to see your files and folders (you may wish to opt to open OneDrive at login)

+How do I access OneDrive for Business on a mobile phone or tablet?

The OneDrive App is available for Android, iOS and Windows and is available for download via the App store on all three operating systems. Just search for OneDrive.

Once you have downloaded and installed the OneDrive App, sign in with your Durham University username and password in the format username@durham.ac.uk.

Once you have signed in, you have full access to any files and folders you have on OneDrive for Business.

You should only download files locally to the phone or tablet if your device is protected by a PIN and the device is encrypted.

+How do I access OneDrive for Business on my PC or laptop?

You can access OneDrive for Business via any web browser by navigating to https://office365.dur.ac.uk, clicking the tiles icon in the top left or the browser window and selecting OneDrive for Business.

You can also access OneDrive for Business directly via https://onedrive.com and signing in via the OneDrive for Business option using your Durham username and password.

You can also install the OneDrive for Business App for Windows. This application allow file synchronisation between your computer and OneDrive for Business but should only be used if your computer requires you to sign in and the hard disk is encrypted. 

+How do I access OneDrive for Business on student and teaching computers (the Managed Desktop)?

You can access OneDrive for Business via Internet Explorer by navigating to https://office365.dur.ac.uk, clicking the tiles icon in the top left or the browser window and selecting OneDrive for Business.

You can also access OneDrive for Business directly via https://onedrive.com and signing in via the OneDrive for Business option using your Durham username and password. 

+How do I add files and folders via the OneDrive for Business portal?

You can upload files and folders via the OneDrive web portal, once you have signed in, carry out the following steps.

  1. Towards the top of the OneDrive portal you should see an Upload option, click the dropdown menu and select Files or Folders
  2. For File upload, browse to the location of the files you wish to upload and select them. Once you have selected the files click the Open button. 

For Folders, browse to the folder location, select the folder you wish to upload and click the Open button. 

Once the files or folder upload has completed, you will see a notification from OneDrive. Any upload errors will be displayed and you may be required to take action to rectify these.

+How do I share OneDrive for Business files or folders?

  1. Sign into OneDrive for Business and select the file or folder you wish to share
  2. Click the Share option in the upper left of the web browser window
  3. Add the email address of the person you wish to share the file with
  4. Add a message to send to the recipient
  5. Using the drop-down options select whether the recipient can view or edit the file
  6. Click the Share button to send the share details

You can remove sharing options at any time by clicking the names listed in the Sharing column of the OneDrive for Business home screen, clicking the drop-down menu under the name of the individual you wish to amend the permissions of and then selecting Stop Sharing.

If you share a file with someone, you can both work on the file at the same time.

+How do I use OneDrive for Business?

You can use OneDrive for Business via your preferred web browser by signing in at https://onedrive.com, via OneDrive Apps on mobile devices, via the OneDrive App for windows or Mac. However you access the service, the interface is essentially the same.

+I am a student, what can I store on OneDrive for Business?

You can store most University related material e.g. essays, lecture notes, OneNote files, posters etc. on OneDrive for Business. All the data you store is encrypted and is visible only to you unless you choose to share it. However, you should not store any information or data that is classed as Confidential or Secret under the information classification categories.

You can store personal files on OneDrive for Business but you may wish to save these files on OneDrive or another cloud storage service if you require access to the data once you leave Durham University.

As with any important files, you are advised to keep multiple copies stored in separate locations e.g. an encrypted USB drive, another cloud storage solution (one that encrypts your data by default). 

+I have deleted a file or folder on OneDrive for Business, how do I get it back?

Any files or folders that you delete from OneDrive for Business are kept in the Recycle Bin for 90 days.

You can recover files and folders from the Recycle Bin up to the 90 day period by dragging them to another OneDrive for Business location.

If you delete a file from any OneDrive for Business connected device e.g. a mobile phone or laptop, it is deleted across all linked devices as well as from OneDrive for Business.

Given that you have 1TB of storage on OneDrive for Business, you should only need to delete files you no longer need, rather than to free up some additional storage space.

+Is my data safe on OneDrive for Business?

OneDrive for Business uses extensive protection systems at multiple levels i.e. physical data centre security, network security, access security, application security and data security.

All files in OneDrive for Business encrypted at rest and in transit and they remain private unless you decide to share them.

There are three copies of your files stored in two separate data Microsoft Data Centres, so you data should always be available unless you choose to delete it

+What happens to my OneDrive for Business data when I leave the University?

Once your Durham computing account has been removed, all the data stored in your OneDrive for Business account will be deleted. This includes any data that you have shared via the service.

You should take steps to move your data well in advanced of your account closing. You may wish to move the data to another secure cloud storage solution e.g. OneDrive, to an encrypted portable device or to a computer that is password protect and the hard disk is encrypted.

On a personal computer, the OneDrive files synchronisation Apps offer drag and drop options. Web browser options will vary depending on the browser and the Operating System you use to access OneDrive for Business.

+What is OneDrive for Business?

OneDrive for Business is an enterprise cloud storage solution from Microsoft. The following features are available via the Durham University OneDrive for Business service.

  • 1TB of storage space which a maximum upload size of 10GB for drag and drop and 2GB for upload methods
  • There are replicated copies of data in multiple data centres
  • Advanced encryption of data at rest and in transit
  • Access to data from any networked computer via a web browser
  • Access to data via mobile devices through dedicated Apps on Android, iOS and Windows
  • Document sharing and collaboration
  • Integration with Microsoft Office 2013 and above
  • Document versioning
  • Recovery of deleted files up to 90 days 

+What is the difference between OneDrive and OneDrive for Business?

OneDrive is a personal storage solution that is linked to a Microsoft personal account. You can use it to store personal data.

OneDrive for Business is an enterprise storage solution that is linked to your Durham University Office 365 account. You can use it to store appropriate Durham University data.

The two services are in no way connected, they have different amounts of storage allocations and different user credentials but they essential offer the same levels of functionality.
