WSE Racecourse Events Beverage Pre-Order Page

Welcome to the information page which holds details around beverages and food trucks available in the marquee at the WSE Racecourse Event during June 2021.

Given the ongoing UK government Covid restrictions, we are operating a pre-order beverage process to allow drinks to be enjoyed at the event. These can be pre-ordered and paid for in advance via our on-line booking system from 72 hours up to 24 hours prior to the commencement of the event performance.

Please read this section carefully then once you have collated all beverage pre-orders for the table, access the link to the booking site below.

How many beverages can our table pre-order?

Each table can place TWO beverage pre-orders per table (of up to 6 people). Therefore speak to all members of the table and make the beverage pre-order together! As part of this pre-order each person may order up to a maximum of 4 alcoholic beverages spread over 2 timeslots (therefore for a table of six adults, a maximum of 24 alcoholic beverages can be pre-ordered for delivery over two timeslots), there is no limit for non-alcoholic beverages.

Please note that if pre-orders for alcohol exceed the limits stated above, the entire order will be cancelled and refunded within 10 working days.

[If you have been contacted by the Event Organiser because it would be impossible for your table to pre-order as a full table, the system will be updated to accept 4 separate orders (again up to a maximum of 4 alcoholic beverage per person).]

Will additional beverage sales be available?

In order to have your beverages at the right time we highly recommend pre-ordering. However subject to capacity, beverage table orders will be available with card payment accepted (no cash is accepted).

How do I pre-order beverages for my table?

  1. In order to use the pre order drinks booking site you must create an account first (it is the same click & collect system used in our cafes). You will require an email account to do this. An email will be automatically sent to the registered email address. You will be required to verify in order to activate and use your account.

  1. Once account is activated, log back into the site, select ‘Click & Collect’ which will show our cafes plus the dates and names of the events. Choose your date and event from the booking the list.

  1. Select your required date and timeslot.

  1. Select your chosen drink refreshments for your household. Each person can enjoy up to 4 drinks per event spread over 2 timeslots within the event (eg. 2 drinks per person per timeslot).

  1. Confirm your table booking number onto the system. (provided in booking confirmation ticket email)

  1. Confirm and pay for your order.

  1. Await confirmation email which contains: Name of registered account, Date, Booking Timeslot, Summary of Order & Booking Reference

  1. If you do not receive a confirmation email please contact university.catering@durham.ac.uk

What beverages are available to pre-order?

The Governments Covid restrictions dictate that all beverages must be table service and pre-booked where possible. Therefore, to simplify this process all beverages will be supplied in aluminium cans with compostable plastic glassware. For safety reasons the entire event will be glass free.

In addition to my event booking confirmation and confirmation of negative LFT, what else should I bring for pre-ordered beverages?

  1. Please have available your beverage pre-order confirmation reference numbers (you will receive this via email once you have placed your pre-order) either digital or paper copies acceptable.

  1. Please bring a valid form of ID to the event (this includes Driving license; Passport and PASS card (Campus Cards are NOT valid forms of ID).

Is there any food available on the day?

Can I bring my own alcoholic beverages?

No, this is an organised event run by Durham University under strict licencing and Covid safety measures are in place. The university operates the Challenge 25 Scheme therefore we recommend you bring a valid form of ID to the event as proof of age (Driving license; Passport and PASS card (Campus Cards are NOT valid forms of ID).

Supplying alcohol to a person under 18 years of age, supplying alcohol to a person acting on the behalf of a person under 18 years of age, or for a person under 18 years of age to consume alcohol are all illegal. We expect you to understand, promote and uphold this legislation.

Please note that only alcohol supplied by Durham University is permitted within the event and please do not gather at the racecourse area before and after the event, this area is within the Durham County Council Public Space Protection Order boundary, therefore the consumption of alcohol outside the marquee is not permitted.

I have an allergy, how can I check this detail before pre-ordering?

All University supplied beverages have allergen detail printed on the receptacle, however if this is not the case, detail can be obtained by speaking from the beverage service team or duty manager. If the information is required in advance, please email university.catering@durham.ac.uk. Allergen information relating to food truck food is the responsibility of the external supplier, therefore please see their website links above.

I have read the above information and would like to make a drinks booking for my for my household, how can I do it?

To order your drinks, please go to DU Click and Collect (mcr-symphony.net) and follow the registration process outlined above.
