Short-Term College Accommodation

This form is for short-term accommodation requests for staff or non-student visitors to the University only.
Accommodation availability for short-term requests is provided within postgraduate accommodation voids within our colleges. This is therefore typically student accommodation. We do not have any separate accommodation that is solely available to visitors.
Before completing this form: You must ensure you have liaised with the relevant department and you are fully registered with the University as a visitor in the appropriate capacity. This means registration with either our Human Resources or Legal Services team to confirm that you are a visitor to the University. We are unable to look into any potential accommodation arrangements if this has not been done.
Visiting students should not apply for accommodation using this form. Please contact us directly should you need any further information.
This form should only be completed if you are requesting accommodation for more than a one month period. If you are looking for accommodation of two weeks or less, please contact our Event Durham team directly. Couple/family accommodation requests can be noted within this form, however this type of accommodation is extremely limited and you may need to find private accommodation as an alternative.

What will we do with the information you provide to us?
All of the information you provide using this form will only be used for the purpose of providing college accommodation. We will share this information with our Colleges who will consider their availability within postgraduate voids for your request and will contact you with an accommodation offer License Agreement should accommodation be available. We will also share this information with our Legal Services in order to authorise that accommodation can be provided to you within our Colleges as a non-student.
We will not share any of the information you provide with any third parties or store any of your information outside of the European Economic Area. The information you provide will be held securely by us and/or our data processors whether the information is in electronic or physical format.
What information do we ask for, and why?
The information we ask for is used to allocate potential college accommodation to you. We are unable to look into, or provide any accommodation to you without this.
We do not collect more information than we need to fulfil our stated purposes and will not retain it for longer than is necessary.
How long will we keep this information?
Following your request for short-term accommodation, if we are unable to provide this to you then we will delete/destroy the information you provide on this form. Normally this will be by the end of the academic year in which you requested the accommodation, 31 August.
If you are provided with college accommodation as part of your request then we will keep this information until the end date of your time in residency.
