Requesting Information To Support Your Appeal

Introduction

Under the Data Protection Act 1998, you have the right to request access to information about you that the University holds. A request for such information is a Subject Access Request.

How to Request Access to this Information

Please print off and complete the University's Subject Access Request form. Send it together with a cheque to £10.00 and proof of identity, such as a copy of a driving licence or passport to:

Timescales

The University will process the request within 40 days of receipt of cheque and proof of identity.

If you are waiting to receive information under the Data Protection Act before you can submit your appeal or complaint you must contact the appropriate person from the list below to request that the timescale for submitting the appeal should commence from the date you receive the requested information:-

  • the relevant Pro-Vice-Chancellor in the case of undergraduate faculty appeals
  • the Assistant Registrar (Academic Support Office) in the case of postgraduate appeals at faculty level
  • the Assistant Registrar (Student Complaints and Appeals) in the case of Appeals to Senate Academic Appeals Committee and in the case of Student Complaints.

Exceptions

The following items will not be disclosed as part of a subject access request:

  • Confidential references that the University provides about you.
  • Confidential references provided to the University by a third party if the referee does not consent to their release and if it is impossible to anonymise the reference.
  • Summatively assessed work i.e. any information you record as part of an examination or summative assessment. This includes answers to questions and supporting documentation but does not include any comments from examiners recorded on your work.
  • Information with direct or indirect reference to other individuals will be exempt if those individuals do not give consent for its release or if it cannot be anonymised effectively prior to release.
  • Examination results. These are subject to a temporary exemption and further details will be provided if this exemption applies in your case.
