Durham University Retail Office

Terms and Conditions

All provisional bookings are subject to approval by the Retail Office, according to appropriateness of the artwork. Artwork visuals must be submitted within four weeks of the provisional booking. Final decisions are with the Retail Office.

Set up and take down must be agreed in advance with the contact (provided by the Retail Office) for the site. This must be done within the contracted staffing of the building (normally 9-5pm, Monday – Saturday), and exceptions cannot be made.

It is vital that you visit the venue before your exhibition and plan how you will hang your work.

Artists must bring their own equipment in order to hang exhibits ie nails, string, hammer, steps etc.

Artists are not allowed to drill the wall or use any fixings in the walls; all work must be hung from the wooded picture rail, hooks or hangings.  Artists normally use hanging wire or for light work fishing line.

Artists must obtain there own Public Liability Insurance and it is the responsibility of the exhibitor to ensure all material is covered by adequate insurance. This must be submitted to the Retail Office a minimum of two weeks before the exhibition.

If the exhibitor wishes to sell their artwork, they must provide a full list of works for sales, and prices, a minimum of two weeks before the start of the exhibition to allow the items to be added to the till system. The final balance, minus the 40% commission, will be paid on 30 day terms from the date of the last day of the exhibition.

Delivery and collection of material is the responsibility of the exhibitor.   As storage space is limited, we regret that work cannot be held outside the agreed dates. Items left uncollected may be removed and if no contact is made from you disposed of at a later date.

Supervision of exhibits shall be the sole responsibility of the exhibitor.  Whilst every reasonable precaution is taken, University staff cannot be held responsible for any loss or damage sustained during an exhibition or display.

Exhibitors who cancel later than two weeks prior to the booking date will be removed from the list for any future bookings.
