Telephone Contacts
When staff are available, every effort is made to answer a telephone call within 6 rings. Calls to all extensions are automatically diverted to Extension 42667 (the General Office) after 6 rings, where there is usually someone available to answer and take a message. If there is no one available in the General Office (42667) the Voice Mail will click in after a further 6 rings and callers can leave a message. Messages left on Voice Mail will be dealt with as soon as possible and no later than the following working day. If Extension 42667 is busy, the call will divert to a manned Extension.
Callers should be aware that messages left for part-time staff could take up to a week to be received by that member of staff. If a faster response is required, this should be specified to the message-taker and every effort will be made by other staff members to deal with the request.
Email Contacts
Again, every effort is made by staff to respond to email messages as soon as possible. However, as for telephone messages, it is possible for it to take up to a week for part-time staff to read their emails. If a faster response is required, we recommend that email messages should be copied to the Health and Safety Service email address (health.safety@durham.ac.uk), which is read every working day, and a prompt reply requested.
