Dear All,
Two big things from me, firstly a reminder of the stuff happening at the next JCR Meeting, and secondly a veritable smörgåsbord of information about the Referendum on the suggested Finance and Commercial Services Officer.
JCR Meeting Reminder
The next JCR meeting is this Sunday, 17th June. Nominations for Husted positions close at 6.00 p.m on Wednesday. Campaigning will open shortly after. The deadline for motions to be submitted is also at 6:00pm on Wednesday.
The positions to be husted at this meeting are:
Arts Chair
Ball Chair
Environment and Ethics Officer
Technical Services Manager
Here follows another brief reminder of the positions to be elected within the meeting:
Arts Treasurer
Dark Lord (Rolled Over)
Social Treasurer (Rolled Over)
Vice-Social Secretary (Rolled Over)
Ball Treasurer
Finance and Commercial Services Officer Referendum
As you will now know having seen the email from the Master and the President, the funding for the sabbatical role has now been approved, with £2000 from the Grey College Trust and an additional £1000 for training the Officer. The Grey JCR Trust would fund the remaining £10,000. This means that we are going ahead with the referendum this week. Here is a time line of how this entire process will work.
Time Line
Monday 11th June Referendum is announced
Thursday 14th June Question and Answer Session
Friday 15th June, 9.00 a.m. Referendum Voting Opens
Friday 15th June, 7.00 p.m. Referendum Voting Closes
Friday 15th June, 10.00 p.m Referendum Results Announced
IF REFERENDUM PASSES:
Friday 15th June, 10.30 p.m. Nominations open for Finance and Commercial Services Officer
Saturday 16th June 6.00 p.m. Nominations closed
Saturday 16th June 8.00 p.m. Candidates announced, Campaigning open
Sunday 17th June - morning Interviews of Candidates
Wednesday 20th June 3.00 p.m. Emergency General Meeting - Husting
Wednesday 20th June 7.00 p.m. Election Voting Opens
Thursday 21st June 7.00 p.m. Election Voting Closed
Thursday 21st June 10.00 p.m. Elections Results Announced
A More Detailed Explanation
The Referendum:
Over the next three days there will be a lot of information around college and in your inboxes about the referendum, and about the sabbatical role. Please take the time to read them, as this is a hugely important issue. The case both for and against the role will be made, and all JCR members will be given the chance to have their voice heard.
The actual form of the referendum will be a choice as to whether or not to formally adopt this position, and to make the necessary changes to the Constitution to do so.
On the actual day of the referendum, voting will take place at the ballot box and online in exactly the same way as in husted elections. Counting will take place in the evening, andresults will be announced in the bar.
Question and Answer Session:
On Thursday evening there will be a final consultation session, with a chance for all JCR members to ask questions of the President and others involved in the preliminary work, and for any JCR member to have their voice and opinions heard. Details are still being finalised, but needless to say it won't clash with Strictly Come Dancing, and will almost certainly be in the Holgate Conference Centre.
Please note that all of the following is conditional on the result of the referendum being to adopt the position in the Constitution. If this is not the case then the process stops at this point.
Nominations:
Nominations will be open for a very short period; less than 24 hours. This is purely a practical matter, the timescale does not allow for longer than this. Candidates interested in running for the position are strongly recommended to prepare their campaign materials in advance.
Campaigning:
The four days of campaigning will be run in a manner similar to that of the Presidential Election. Please consult Appendix M of the Constitution for full details. Key points to note are that websites will not be used, but Social Network campaigning will be allowed. Crucially, hust will be 6 minutes long, with your proposer speaking for 2 minutes. Alternative Media Husting will be permitted as in the VP election. The interview will take place on Sunday morning, and will be a panel contaning members of both the Grey College Trust and the Grey JCR Trust.
Emergency General Meeting:
An EGM can be called if there is business to be conducted that does not fit within the usual schedule. It will look very similar to a normal meeting, but with the only agenda item being the husts for the Finance and Commercial Services Officer. It will be held at 3.00 p.m. in the Dining Hall. Sports and societies will still need to fill their quota of places. It is hard to emphasise enough how important this meeting would be. If the referendum passes then the first occupier of the position will play a key role in shaping it and defining future objectives.
There will be more information appearing on all of these events over the next few days.
Obviously, this is an exciting, tumultuous time for the JCR, and there will no doubt be many questions. If you do have queries on any of the information within this email, then please contact either myself or Josh Turner, and we will do our best to answer them as soon as possible.
Sincerely,
Josh Wilkes

Do you want to be the trustee of a charity?
Grey JCR needs you!
The position of Student Trustee is up for election at the next JCR meeting.
As student trustee, you would:
- be an executive of a charity with a turnover close to £200,000
- be involved in and gain insight at the highest level into the governance and day-to-day running of Grey JCR
- get to work with some highly successful alumni from a range of backgrounds including Law, Accountancy, Consultancy and Education.
- have equal voting rights and equal decision-making power to all the other trustees on the board (i.e. your opinion would be just as valuable as those of all the other alumni and exec trustees)
- have fun!
See my email for more information sent 12/11/2011 for more info!
If you have any questions about how to run for this position or about the position itself, please don't hesitate to get in contact with me.
