Office 2007

+How can I recover files from an unexpected application closure on an NPCS machine?

Microsoft Office applications have an Autorecover function that will allow recovery of files in the event of a problem that causes the application to close. When using a normal NPCS machine, Autorecover files can be found in J:/My Documents, on NPCSroam laptops these are found in D:/Laptop/My Documents. Rather than appearing as FileName.doc they will have a different extension and appear as ~FileName.asd . In order to use this file again you will need to rename the file by changing the extension from .asd to .doc (ie rename the file back to FileName.doc)

This method can only be used for recovery of  files from an Office application closure. For recovery of files saved on your J drive see Using Snapshots to Recover Files.

+How do I save Microsoft Office files in the old file format?

From July 2010 the default file format for newly-created Office documents on ITS MDS/NPCS machines will be changing to the Microsoft Office 2007 file format, for example (.docx) or (.xlsx) etc. Existing documents are unaffected by this change.

If you still require a new document to be saved in the old file format after the change for example (.doc) or (.xls) etc  then you need to do the following: -

Microsoft Word 2007

Click Office button

Go to Save as

Select "Word 97 - 2003 document"

You can then save your document as a .doc

To ensure it will save as the old file format the Save as type drop down will be for example "Word 97-2003 Document(*.doc)"

Microsoft Excel 2007

Click Office button

Go to Save as

Select "Excel 97 - 2003 Workbook"

You can then save your document as .xls

To ensure it will save as the old file format the Save as type drop down will be for example "Excel 97-2003 Workbook (*.xls)"

Microsoft Access 2007

When creating a new blank database in Microsoft Access 2007, you will see the filename with the file extension as (.accdb) and the location of the file.

Click on the Browse icon next to the filename

Browse to where you want to save the database

From the Save as type drop down select Microsoft Office Access Databases (2002-2003 format) (*.mdb)

Click OK

Click Create

Microsoft PowerPoint 2007

Click Office button

Go to Save as

Select "PowerPoint 97 - 2003 Presentation"

You can then save your document as .ppt

To ensure it will save as the old file format the Save as type drop down will be for example "PowerPoint 97-2003 Presentation (*.ppt)"

Note that saving in the old file format does not allow you to take advantage of certain new features introduced in Microsoft Office 2007. If there are any queries about file formats, please contact the IT Service Desk.

+I get a security error message when opening my database in Access 2007

Access 2007 has introduced a new security system called Trusted Locations which can block database items which run at startup e.g Switchboards, Banner Data Proctection Window

There are 2 guides available to help you with this new system. The second guide  is more specific for Banner ODBC users using Access 2007 for the first time.

+In Office 2007 applications where do I find the Help icon?

It is the question mark on the right of the screen, near the top - click that.

+In Office 2007 applications, where do I find the things like 'save', 'print' etc that used to be in the File menu?

At the top left hand corner is a round coloured icon with the Office 2007 logo.

This is the Office Button.

Commands that used to be accessed via the File command in previous versions of Office such as Save, Print, Open and New can be found here. If you regularly access a feature under the Office button you can add it to the Quick Access Toolbar by right clicking on a command and selecting Add To Quick Access Toolbar. It will then appear as an individual icon to the right of the Office button.

+In Word 2007, how to get the ruler to display?

Click on the little icon on the right of the screen, above the vertical scrollbar.

+In Word 2007, why does it sometimes take a while for typing to catch up?

This can happen if you have the Review tab selected. The 'solution' is to select any other tab on the Office ribbon, ie Home. If you require regular access to features on the Review tab such as Track Changes you can add the buttons to the Quick Access Toolbar so that you can access them in any tab. To do this right click on the button you require and choose Add to Quick Access Toolbar.

+Is Nvivo compatible with Office 2007?

+Is the Smartboard software compatible with Office 2007?

Version 10.6 of Smartboard software, as deployed in centrally timetabled rooms, is compatible with Office 2003 and 2007. A useful feature of this compatibility is that a complete Powerpoint slide show can be imported into a Smartboard notebook book and vice versa. (Version 9.5 was not compatible with Office 2007.)

+Why am I getting error message when opening old office documents?

Microsoft no longer support old office file formats, they are regarded as having security vulnerabilities.

http://support.microsoft.com/kb/938810

http://support.microsoft.com/kb/922849

On MDS machines it's possible to still open these files but first you have to create a folder within "My_Documents" called "unsupportedfiles" (eg j:\My_Documents\unsupportedfiles) then if you move any old files into that folder they will open.

To make sure you are accessing the correct location you must browse specifically to j:\My_Documents\unsupportedfiles, best to use Windows Explorer, if you use any My Documents shortcuts the path may not be correct, and it might not be the fully qualified path (eg \\stevens\username\My_Documents\unsupportedfiles)

Once you have sucessfully opened a file it is then recommended to save the file which will convert them into Office 2003 format, they can then be moved back to their original location.
