Registration Guidance Notes

Registration for Summer Congregation 2013 is open until 19 June 2013.

To register for Congregation and Parchment you will need to follow the instructions below:

1. Go to DUO and input your IT login details

  • If you do not know your login details or have problems accessing DUO click on the 'Help' button on the DUO homepage and follow the instructions provided under 'Password Problems'. If this still does not work contact the IT Service Desk or the Ceremonies Unit.

2. Under the 'Tools' section click on the 'Congregation and Parchment' link. Students on Distance Learning/Global Learning Centre programmes should click on the Student Record System tab to see the Tools section. Students who are also members of staff must access the registration system as a student when prompted.

  • If you cannot see the link please contact the Ceremonies Unit.
  • If you are informed that you are not at present eligible to register this is because your student records state that you are not expected to complete your programme in advance of Congregation. If you think this is incorrect you need to contact your department or, for Postgraduate Research students, the Academic Support Office.

3. Basic details held within your student record will be displayed: name, college, programme and award plus thesis title if completing a doctorate. If your name or college is incorrect you must click the link to inform the Student Planning and Assessment office. It is very important to ensure that your full name is correct (in western script) as this will be printed on your parchment.

  • Once you have reported any amendments you can continue with your registration.
  • The programme and award on which you were originally registered will be displayed even though you may have been awarded a different qualification e.g. awarded a Postgraduate Certificate from a Masters programme.

4. The next screen will then ask you to provide contact details and confirm the address for your parchment to be issued.

  • To check a UK address or postcode you can click on the ‘Confirm Address’ button to search full address details.

5. a) Students eligible to attend Congregation – you will be shown the date and time of your ceremony and asked to state whether you wish to attend, not to attend or to defer attendance at Congregation.

  • If you choose not to attend or to defer attendance you will be provided with confirmation of whether or not you have successfully completed your programme of study and if there are any outstanding debts to the University, which must be cleared before the parchment will be issued.

5. b) Students not eligible to attend Congregation – you will be provided with confirmation of whether or not you have successfully completed your programme of study and if there are any outstanding debts to the University.

  • Parchments will not be issued to any student with an outstanding debt to the University.
  • If you have an outstanding debt you will be provided with information on how and where to pay the debt.

6. Students that request to attend Congregation will then be asked to submit the number of guest tickets that they require.

  • Each student attending the ceremony is guaranteed 2 tickets and can request additional tickets for guests.
  • Additional guest tickets will be allocated on a first come, first served basis.
  • You will receive immediate confirmation of whether you have been successful in your application for additional guest tickets.
  • Should your number of guests change, you can amend your request for tickets at any time during the registration period.

7. You will be asked to provide details if you or any of your guests reqire any special arrangements.

8. You will then be provided with confirmation of whether or not you have successfully completed your programme of study and if there are any outstanding debts to the University.

  • Parchments will not be issued to any student with an outstanding debt to the University.
  • If you have an outstanding debt you will be provided with information on how and where to pay the debt.

9. The final screen provides further information for Congregation:

  • Print a copy of the registration details
  • Print Attendance Information for Congregation
  • Order robes
  • Pre-order Congregation photographs and DVDs

Plus information on:

  • Alumni community
  • Careers, Employability and Enterprise Service

You can return to the registration screens via DUO at any time during the registration period to check or amend the details that you have input.
